Making the Invisible, Unmissable.

Marketing Workflow & AI Integration

Improve the process first. Use AI where it genuinely helps.

Marketing teams can lose a surprising amount of time to work that should not require repeated manual effort.

Information is copied between systems. Reports are rebuilt every month. Content is recreated because nobody can find the original. Customer information sits across several platforms. People spend hours completing processes that have developed gradually without anybody questioning whether they still make sense.

AI can help with some of those problems.

But adding AI to a poor process usually gives you a faster poor process.

I start by understanding how the work currently happens, where time is being wasted and what information people need. I then identify where better workflow design, automation or AI can make a genuine difference.

The objective is not to introduce AI for the sake of it. It is to make marketing easier to operate, reduce unnecessary manual work and help people spend more time on the work that actually requires judgement.

When this service may be appropriate

AI is increasingly being added to marketing platforms, CRM systems, reporting tools and everyday working practices.

The problem is that adoption often happens without anybody looking at the wider process.

Different people begin using different tools. Sensitive information may be handled inconsistently. Content and reporting workflows develop separately. Automation is introduced without clear ownership. The business ends up with more technology but very little improvement in the way the work actually gets done.

This service is designed for businesses that want to improve how marketing operates and use AI where there is a clear reason for doing so.

Who I work with

Marketing Workflow and AI Integration is most appropriate for established businesses with existing marketing processes, systems and teams.

You may already have a CRM, marketing automation, analytics, content workflows and several platforms supporting the marketing function.

The opportunity is usually not to replace everything.

It is to understand how the work moves between people and systems, identify where friction exists and decide where workflow redesign, automation or AI can improve the process.

I typically work with founders, CEOs, managing directors and senior marketing leaders alongside the people who actually use the systems and complete the work.

What I look at

The exact emphasis depends on the business, but the review normally starts with the existing workflow rather than the technology.

Marketing workflows

I examine who currently owns marketing performance and whether responsibility is clear across the leadership team, internal team and external agencies.

Where ownership is fragmented, important decisions can be delayed or passed between people. Activity continues, but nobody is clearly responsible for the overall result.

The review identifies where stronger leadership, governance or decision-making is required.

Automation opportunities

Not every repeated task needs AI.

In many cases, straightforward automation can solve the problem more reliably.

I look at where information can move automatically between systems, where repetitive tasks can be removed and where people are currently spending time completing work that adds little value.

Practical AI use cases

Where AI can genuinely improve the process, I look at how it should be introduced.

That may include supporting research, organising information, assisting with content workflows, summarising large volumes of information, improving internal knowledge access or helping teams analyse and interpret data.

The important question is not whether AI can perform the task.

It is whether using AI actually improves the way the business operates.

Knowledge and information

Businesses often hold useful information across documents, CRM systems, shared drives, websites and individual teams.

Where appropriate, I look at how that information can be organised and made easier to access through better search, structured knowledge systems or AI supported retrieval.

The objective is to help people find and use the information the business already has.

Reporting and analysis

Reporting can consume significant amounts of marketing time.

I look at where data is collected, how reports are produced and whether parts of the process can be automated or improved.

AI may support interpretation and analysis, but the underlying data still needs to be reliable.

Governance and human oversight

AI needs appropriate boundaries.

I consider what information people should and should not enter into AI systems, where human review remains necessary, who owns the process and how outputs should be checked before they influence customers or business decisions.

This becomes particularly important in regulated or reputationally sensitive environments.

Systems and integrations

Where workflow improvements depend on systems communicating properly, I look at the relevant CRM, marketing platforms, analytics, websites and other tools involved.

Sometimes the solution is better integration.

Sometimes it is simplifying the process.

Sometimes the correct answer is to stop using a tool altogether.

How the project works

The work normally begins with a paid discovery phase.

I speak to the people involved, review the current processes and systems and identify where time is being lost or unnecessary complexity has developed.

From there, I establish which problems are worth solving and what the most appropriate solution looks like.

That may involve process redesign, conventional automation, AI, integration between systems or a combination of several approaches.

Following discovery, I provide a defined implementation scope with priorities, responsibilities, dependencies and costs.

Depending on the requirement, I may implement parts of the solution directly, work with internal teams or coordinate specialist technical support where appropriate.

What you receive

The output depends on the problems identified during discovery.

It may include redesigned workflows, automation, AI supported processes, knowledge systems, reporting improvements, system integrations, governance guidance and documented working practices.

The important outcome is not the number of AI tools introduced.

It is whether the marketing function becomes easier to operate.

What this service does not include

Marketing Workflow and AI Integration is not generic AI consultancy or experimental technology research.

I do not recommend AI simply because a task can technically be automated.

It is also not a replacement for wider CRM or technology restructuring where the underlying systems are the real problem.

Where CRM, customer data or reporting needs to be understood first, the appropriate starting point may be a CRM and Marketing Data Audit.

Where the underlying CRM requires significant restructuring or implementation, that work may sit within CRM Implementation and Optimisation.

How success is measured

Success should be visible in the way people work.

Repeated manual tasks should be reduced. Information should be easier to find. Processes should require fewer unnecessary steps. Reporting should take less effort. Teams should understand where automation and AI are appropriate and where human judgement remains important.

Most importantly, the technology should make the marketing function easier to run rather than creating another layer of complexity.

Experience

My background spans marketing leadership, CRM, customer data, websites, analytics, automation and marketing operations, so I approach AI as part of the wider marketing function rather than as a standalone technology project.

I have also completed practical training in LLM engineering, including Retrieval Augmented Generation (RAG), fine-tuning approaches such as LoRA and QLoRA, and agent-based workflows. This has given me a deeper understanding of how generative AI systems can work with business data, knowledge sources and existing processes rather than simply relying on standalone tools such as ChatGPT.

That technical understanding is useful when assessing where AI can genuinely improve a marketing workflow, what information or infrastructure it depends on and where human oversight still needs to sit.

I am interested in the opportunities AI creates, but equally in the processes, data, people and governance that determine whether it delivers anything useful.

That is particularly important in complex or regulated businesses, where introducing new technology without the right controls can create as many problems as it solves.

Investment

Marketing Workflow and AI Integration begins with a paid discovery phase from £2,500 excluding VAT.

Implementation is quoted following discovery because the scope can vary considerably depending on the number of workflows involved, existing systems, integrations, data requirements and technical complexity.

There is no obligation to commission wider implementation work from Hiddn Marketing following discovery.
